Family Food Guide Privacy Policy

Last updated: 3 October 2026

This policy explains how Family Food Guide (“FFG”, “we”, “us”) collects and uses personal information when you visit www.familyfoodguide.com, create an account, buy a membership, or use our member features.

1. Who we are

The organisation responsible for your personal information is Family Food Guide Ltd, trading as Family Food Guide (company number 893882), registered in Scotland.

We are the data controller for personal information we decide how and why to use. Wix provides the website platform and may process visitor and member information on our behalf. Some other providers may process information for their own purposes, as explained below.

2. Information we collect

Depending on how you use FFG, we may collect:

  • Account information: your name, email address, billing/contact address (including country and postcode), account ID, login and account settings. We ask for an address to administer your paid membership and billing, keep accurate account records, and contact you about your account or, where necessary, a dispute or legal claim.

  • Membership and order information: membership type, subscription status, purchase date, amount, renewal or cancellation details, and limited billing information.

  • Payment information: payments are handled by the payment provider you choose or that is shown at checkout, including Stripe and, once enabled, PayPal. We do not intend to store your full payment card number, PayPal password or security code on our own systems. The payment provider may give us payment confirmation, billing information and limited transaction details.

  • Member features: recipes you save as favourites; meals added to your Meal Planner; Shopping List items; and any preferences or targets you choose to save, such as calorie or protein targets.

  • Messages to us: the information and contact details you include when you email or otherwise contact us.

  • Technical and usage information: information that may be collected when you use the website, such as IP address, browser and device details, pages or features used, approximate location derived from an IP address, and security or diagnostic logs. The exact information depends on Wix and the tools enabled on the site.

  • Cookie and similar technology information: information collected through cookies or similar technologies, as described in section 5.

Please do not put medical details or other sensitive information into your account, Meal Planner, Shopping List, or messages unless we specifically ask for it. Optional nutrition targets are used to provide the feature you choose; they are not medical advice.

3. How and why we use your information

We use your personal information only where we have a lawful basis to do so. The purposes and lawful bases are:

  • To create and manage your account and provide member features, including saved favourites, your Meal Planner, Shopping List and saved preferences or targets. We use account information and the information you choose to save in these features. Lawful basis: necessary to perform our contract with you.

  • To take membership payments and manage your membership, including renewals, cancellations and refunds. We use account, membership, billing and transaction information. Lawful basis: necessary to perform our contract with you.

  • To keep the records we are legally required to keep, such as relevant payment and accounting records. Lawful basis: legal obligation.

  • To respond to support requests and deal with account issues. We use your contact details, messages and relevant account information. Lawful basis: necessary to perform our contract with you where your request relates to your membership; otherwise, our legitimate interests in responding to enquiries and supporting users.

  • To keep the website and accounts secure, prevent misuse and troubleshoot problems. We use relevant account, technical and usage information. Lawful basis: our legitimate interests in operating and protecting a secure, reliable service.

  • To establish, exercise or defend legal claims, if needed. We use only information relevant to the matter. Lawful basis: our legitimate interests in protecting and enforcing our legal rights.

  • To send optional news, offers and other marketing emails. We use your email address and marketing preferences. We send these emails only where you have opted in. Lawful basis: your consent, which you can withdraw at any time.

  • To use non-essential analytics or similar cookies, if enabled. These may involve cookie and usage information. Lawful basis: consent where required. See section 5, “Cookies and similar technologies,” for how to manage your cookie choices.

Where we rely on legitimate interests, our interests are to operate and protect FFG, respond to users, and protect our legal rights. We use only information relevant to those purposes and consider the impact on your rights and interests.

We also send service messages about your account, payments, security and membership when needed to provide the service. These are not optional marketing emails.

4. Who we share information with

We do not sell your personal information. We may share it only where needed with:

  • Wix, which hosts and provides features for our website and member services.

  • Stripe and PayPal, as applicable to the payment method you select, to take and manage payments. They may process some information under their own privacy notices and legal responsibilities, including fraud prevention and legal compliance.

  • Our email provider (Microsoft 365 where used for the FFG inbox) so we can receive and reply to messages.

  • Other service providers we enable for website security, support, analytics, email delivery, or video/content delivery. We will update this notice if our use of providers materially changes.

  • Professional advisers, regulators, law enforcement or other authorities where disclosure is required by law or needed to establish, exercise or defend legal claims.

We require providers processing information for us to protect it and use it only for authorised purposes. A provider may have its own responsibilities and privacy notice for information it processes as a separate controller.

5. Cookies and similar technologies

The website may use cookies or similar technologies to make essential features work, such as account sign-in, security and remembering choices. Wix and any apps or integrations enabled on the site may also use them.

Where required, we will ask for your permission before using non-essential cookies, such as analytics or advertising cookies. You can change or withdraw your cookie choices using the cookie settings control on our website. Blocking essential cookies may prevent some parts of the site from working.

6. International transfers

Some of our service providers may store or process information in countries outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we will use an appropriate safeguard, such as UK adequacy regulations or approved contractual protections.

7. How long we keep information

We keep personal information only for as long as needed for the purpose we collected it for:

  • Account and member-feature information is kept while your account is active. If you close your account, we will delete or anonymise it when it is no longer needed, subject to the exceptions below.

  • Transaction and accounting records are kept for the period required by applicable tax, accounting and other legal rules.

  • Support correspondence and security logs are kept only as long as reasonably needed to resolve the matter, protect the service, and deal with any legal claims.

  • Back-up copies may remain for a limited period in secure system back-ups before being overwritten or deleted.

We may retain some information for longer if the law requires it or if it is needed to establish, exercise or defend legal claims.

8. Keeping information secure

We use appropriate technical and organisational measures designed to protect personal information from loss, misuse and unauthorised access. Internet services cannot be guaranteed to be completely secure. Please use a unique password and tell us promptly if you think someone has accessed your account.

9. Your rights and choices

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;

  • correct information that is inaccurate or incomplete;

  • ask us to erase information;

  • ask us to restrict how we use information;

  • receive certain information in a portable format;

  • object to processing based on legitimate interests; and

  • withdraw consent where we rely on consent, without affecting processing that took place before withdrawal.

You can unsubscribe from marketing emails at any time using the link in the email or by contacting us. You can also contact us at info@familyfoodguide.com to exercise a data protection right or ask a question. We may need to verify your identity before acting on a request. Some rights are subject to legal exceptions.

You may complain to the UK Information Commissioner's Office (ICO) at https://ico.org.uk/make-a-complaint/. If you live in the European Economic Area, you may also be able to complain to your local data protection authority.

10. Children

Family Food Guide is designed for families, but membership accounts should be created and managed by an adult. Children should use member features with a parent or guardian and should not submit personal information to us themselves. If you believe a child has given us personal information directly, contact us so we can review and remove it where appropriate.

11. Changes to this policy

We may update this policy when our services, providers or legal obligations change. We will publish the latest version here and update the date at the top. If a change significantly affects how we use information, we will take reasonable steps to bring it to your attention.
